Prompt Library
Manage and share AI prompt templates with your learners to boost productivity.
The Prompt Library is a curated collection of AI prompt templates that your learners can browse, copy, and use directly in their favourite AI tools (ChatGPT, Claude, Gemini, etc.). It removes the guesswork from writing effective prompts and helps teams adopt AI consistently.
To manage prompts, navigate to Learning > Prompt Library in the Admin Portal sidebar.
1. The Prompt Library Dashboard
The dashboard lists all prompts available to your organisation — both system-wide prompts provided by TechClass and any custom prompts you have created.
Each row shows the prompt's title, department, status (Draft / Published / Archived), and engagement counters (copies and bookmarks).
Filtering and Search
Use the controls at the top of the page to narrow down the list:
- Search — full-text search across titles and keywords.
- Status — filter by Draft, Published, or Archived.
- Department — show only prompts belonging to a specific department (e.g. Marketing, Sales, HR).
2. Creating a New Prompt
Click the + New Prompt button in the top right corner to open the prompt editor.
Fill in the following fields:

| Department | The team or function this prompt is most relevant to. |
| Status | Set to Draft while editing; change to Published to make it visible to learners. |
| Title | A short, descriptive name (e.g. "Write a Campaign Brief"). |
| Description | An optional explanation of what the prompt does and when to use it. |
| Prompt Text | The full prompt template. Use [Variable Name] syntax for any field that the learner should fill in (e.g. [Product Name], [Target Audience]). |
| Use Case | A short category label (e.g. "Campaign Brief", "Performance Review"). |
| Keywords | Comma-separated search tags that help learners find the prompt. |
Click Create Prompt to save.
3. Interactive Variables
Any text wrapped in square brackets inside the Prompt Text is treated as an interactive variable. When a learner opens the prompt in the Prompt Library, each [Variable] is rendered as a labelled input field they can fill in before copying the final prompt.
Example:
Write a LinkedIn post for [Product Name]. The target audience is [Target Audience].
Keep the tone [Tone, e.g. professional / casual] and limit it to 3 short paragraphs.This makes templates reusable without editing the raw text every time.
4. Managing Existing Prompts
Click the edit (pencil) icon on any prompt row to reopen the editor and update its content, department, or status.
To remove a prompt permanently, click the delete (trash) icon and confirm. Deleting a published prompt immediately hides it from learners.
Archiving vs. Deleting
- Archived — hides the prompt from learners without deleting it. Useful when a prompt is temporarily out of date but you may want to restore it later.
- Deleted — permanent removal. Cannot be undone.
5. Learner Experience
Learners access the Prompt Library from the Workspace section in their sidebar.
- Browse tab — prompts are grouped by department. Learners can use the search bar and department filter to find what they need.
- My Bookmarks tab — learners can save favourite prompts by clicking the Save button on any prompt card, making them easy to find later.
- Clicking any prompt card opens a detail modal showing the full prompt text with interactive variable inputs and a Copy button to paste the result into any AI tool.
