Communications

Control how your organisation communicates with learners via email reminders.

The Communications settings page allows administrators to govern how email reminders and direct messages are sent to learners across the platform. Whether you want to strictly standardize outgoing messages or allow instructors to write personalized nudges, these settings give you full control over your organization's voice.

To access these settings, navigate to Configuration > Communications in the Admin Portal sidebar.


1. Reminder Settings

The Reminders tab acts as the master control center for outbound learner communications. Using simple toggle switches, you can dictate exactly what features are available to your admins and instructors when they attempt to message a learner.

  • Learner Reminders: The master switch. Toggling this on allows admins and instructors to trigger manual reminder emails for courses, compliance requirements, and learning paths. If disabled, the manual reminder feature is completely hidden across the platform.
  • Custom Message in Reminders: When enabled, the sender will see an optional text box allowing them to type a personalized note alongside the standard automated text. If disabled, all reminders will strictly use the standard system template to ensure uniform corporate messaging.
  • CC Manager in Communications: When enabled, communication modals will include a "CC their Manager" checkbox, allowing the sender to automatically copy the learner's assigned manager on the email.

Use Case: Enabling the CC Manager option is highly recommended for critical compliance training, ensuring department heads have immediate visibility when their direct reports are falling behind on mandatory requirements.


2. Communication History

The History tab acts as a centralized audit log for all manual communications sent from the platform.

Whenever an admin or instructor sends a course reminder, compliance nudge, or direct email, a record of that action is logged here. This provides accountability and helps your administrative team ensure learners aren't being overwhelmed with duplicate reminders from different platform administrators.


3. Email Templates

The Templates tab provides a library of the system-defined emails that are dispatched when a reminder is triggered.

These templates are currently read-only to ensure a consistent, professional, and mobile-friendly layout across all tenant communications. You can review the exact layout and default copy of each template by clicking the Preview button on its respective card.

The available system templates include:

  • Compliance Reminder: Dispatched when an admin reminds a learner to complete an outstanding compliance requirement.
  • Course Reminder: Dispatched when an admin or instructor nudges a learner to continue a specific enrolled course.
  • Learning Path Reminder: Dispatched to encourage a learner to continue progressing through a multi-course path.
  • Direct Email: The standard wrapper used when an admin composes a custom, one-off email directly to a learner.
