Milestones

Track employee birthdays, work anniversaries, and custom company dates on a rolling admin timeline with one-click celebration actions.

The Milestones dashboard surfaces a rolling 60-day calendar of employee birthdays, work anniversaries, and custom company dates—so admins can celebrate the moments that matter most.

To access this feature, navigate to People > Milestones in the Admin Portal sidebar.


1. Feature Activation

Milestones is included in all plans. When you first visit People > Milestones, you'll see the activation page. Click Activate Milestones to enable it for your tenant.

Existing tenants will find Milestones pre-activated.


2. The Timeline

The timeline is divided into four sections, each covering a rolling window from today:

Each milestone card shows:

  • Profile photo and full name (or the event title for custom dates)
  • Milestone label — e.g. Birthday, 3rd Work Anniversary, or the custom date title
  • Type badge — colour-coded by type (Birthday, Anniversary, Custom Event)

Birthday data note: birthdays only appear on the timeline if the user has filled in their birthday in their profile and has not opted out (see Employee opt-out below).


3. Quick Actions

Each milestone card has two quick-action buttons:

Send Message

Opens an existing direct conversation with the employee, or starts a new one, and navigates to Messages. Available for Birthday and Anniversary entries only.

Create Hub Announcement

Opens a pre-filled Hub Announcement dialog with a suggested title (e.g. "Happy Birthday, Alex!"). Add an optional message body, then click Post to Hub to publish it to the tenant's Hub feed.

The Create Hub Announcement button is only shown to admins with Operations permission, since it creates a Hub post.


4. Custom Company Dates

The Custom Company Dates panel (below the timeline) lets admins manage non-user milestone events, such as:

  • Company Founding Day
  • Annual all-hands retreat
  • Product launch anniversaries
  • One-off celebration days

Adding a custom date

  1. Click Add Date in the Custom Company Dates card.
  2. Fill in:
    • Title (required) — displayed on the milestone card.
    • Description (optional) — shown as a subtitle.
    • Date (required) — the calendar date.
    • Recurring annually toggle — if on, the event repeats every year on the same month and day; if off, it appears once on that specific date and is ignored after it passes.
  3. Click Create to save.

Editing or deleting

Use the pencil and trash icons on any custom date row to update or remove it.


5. Employee Birthday Opt-Out

Employees can choose to hide their birthday from the Milestones dashboard while keeping it in their profile. In the Learner portal, go to Profile and toggle "Hide my birthday from company milestones".

  • When enabled, the employee's birthday will not appear on the admin Milestones timeline.
  • Work anniversaries are always visible—they cannot be opted out.

For the birthday and anniversary fields to appear on users' profiles, a tenant admin must first activate those fields in People → Settings → Profile Fields.


7. Privacy & Audit Notes

  • Birthdays respect each employee's opt-out preference. Opt-out is applied in real time.
  • Work anniversaries are always shown; there is no opt-out.
  • All changes to custom dates are logged in the Tenant Audit Log (Admin → Configuration → Audit Logs).
