Skills Licenses

Buy Skills licenses, assign them to learners, and follow who has access to which Skills course and until when.

The TechClass Course Library has two tiers. Essentials courses are included with your subscription. Skills courses are paid for per learner: each learner who takes one needs a Skills license. This page explains how licenses work, how to buy them and how to assign them.

To manage licenses, navigate to Learning > Skills Licenses in the Admin Portal sidebar. To buy them, open Billing and choose the Skills Licenses tab.


1. How Skills licenses work

  • One license, one learner, one course. A license gives one named learner access to one Skills course of your choice.
  • 12 months of access. The learner's access lasts 12 months from the day you assign the license. Their progress and certificate are always kept: when access ends, the course content locks, and a new license opens it again.
  • A license is used when you assign it. Once assigned, it never returns to your pool — not when the learner finishes the course, and not if you cancel their enrollment.
  • Unassigned licenses expire. A license you have bought but not assigned can be assigned for 12 months after purchase. After that it lapses, so assign your oldest licenses first — TechClass does this for you automatically.
  • Learners already in their access window use no license. If you assign a license to someone who already has access to that course, nothing is used.

Learners see Skills courses in the Explore tab, marked as Skills courses, but cannot enroll in them themselves. Skills courses are also not offered in group or organisation-wide enrollment, learning paths, compliance requirements or invitations: a license is always assigned to a named learner.


2. Buying licenses

Buying licenses needs the Billing permission. Open Billing and choose the Skills Licenses tab.

  • Your licenses shows how many licenses you have available to assign, how many unassigned licenses expire within the next 30 days, and the next date unassigned licenses expire.
  • Buy licenses shows the price table. The price per license depends on how many licenses one order holds: the larger the order, the lower the price of each. Enter the number of licenses, check the total, and press Buy licenses to pay securely with Stripe.
  • Your orders lists every order, with how many of its licenses are assigned, how many are left and when the unassigned ones expire.

After you pay, Stripe brings you back to the tab, which confirms your purchase as soon as Stripe does — usually within seconds. Your new licenses then appear in your orders and in the total available.

Online checkout is in euros. If your workspace is billed in another currency, if no online price covers the number of licenses you need, or if online checkout is not open for your workspace yet, the tab says why and offers Talk to sales. Our team then prepares your order, and it appears under Your orders once it is recorded. A workspace on its free trial can buy licenses too.


3. Assigning licenses

Assigning licenses needs the Learning permission. You can start from three places:

  • Learning > Skills Licenses, with the Assign licenses button.
  • A Skills course's page, on its Enrollments tab: Assign licenses takes the place of Add learner, and the course is already chosen.
  • A Skills course's page, on its Interested learners tab: Assign licenses to these learners opens with the course chosen and the learners who asked for it already ticked (see Learners who asked for a course below).

In the Assign Skills licenses dialog:

  1. Choose the Skills course (when you did not start from the course).
  2. Search for learners by name or email and tick each one who should get a license. You can assign up to 500 learners at a time.
  3. Press Check licenses. TechClass shows how many learners already have access and use no license, how many licenses the rest need, and how many you have available. Nothing is assigned yet.
  4. Press Assign to confirm.

Each learner who received a license is enrolled in the course with access for 12 months, and gets a notification and an email saying so. A learner who was already enrolled keeps their progress and gets the new access end.

If you do not have enough licenses, the dialog says how many the learners need and how many are available. Buy more on the Billing page — or, without the Billing permission, ask an administrator who has it — then check again.

Learners who asked for a course

Learners see Skills courses in Explore and can mark one with I'm interested. A Skills course's page has an Interested learners tab listing who asked for it, newest first, with their email and the date they asked.

Assign licenses to these learners opens the Assign Skills licenses dialog with the course chosen and every learner on the tab already ticked. Remove anyone you do not want to license, add others if you wish, then check and assign as usual. A learner who receives a license leaves the list.

The Course Library tab under Learning > Courses also shows, on each Skills course, how many learners asked for it. Learners can show interest in Expert Workshops the same way.


4. Following your licenses

The Skills Licenses page lists every license your workspace has assigned, newest first: the learner, the course, the date their access ends (with Active, Ending soon or Ended), who assigned it and when, and the order it came from. Search by learner name or email, or narrow the list to one Skills course.

To share the list, use Export to download it as CSV, Excel, JSON or PDF. The file holds every license that matches your search and course filter.

The summary at the top shows what needs your attention: licenses available to assign, learners whose access ends within the next 30 days, and the next date unassigned licenses expire.


5. Reminders

TechClass sends two reminders, each once, 30 days ahead:

  • To the learner, when their access to a Skills course ends within 30 days and they have not completed it.
  • To your administrators with the Billing or Learning permission, when an order still has unassigned licenses that expire within 30 days.
